POSITION SUMMARY: The Contract Coordinator provides principal support to the Contract and Closing Manager and is responsible for opening, maintaining, and filing all documents related to real estate sales.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
o Manage all aspects of purchase and sale agreements for single-family homes and condominium communities
o Monitoring and follow up on pending and approved sales o Responsible for data entry and processing functions related to sales and closings
o Monitor and complete assigned tasks and actions within company designated software
o Audit and ensure agreements are executed in accordance with policy
o Assemble purchase agreement documents and create electronic lot files on company designated storage drive
o Ensure proper filing of electronically saved documents o Email executed sales documents to purchasers and affiliated parties
o Ensure proper filing and management of sales and closing documents within company designated drives and company software
o Compile and complete various forms and documents as required, based on community, state and department requirements
o Work directly with Contract and Closing Manager, Closing Coordinator, purchasers, sales, construction, design, customer experience, mortgage, title, attorneys and other related personnel o Scan, save, upload and/or distribute documents, payment receipts and reports
o Responsible for processing disbursement requests, deposit receipts and refunds of various nature
o Coordinate disbursements, deposit receipts and refunds with corporate accounting department and/or escrow agents as applicable
o Attend and participate in weekly meetings
o Prepare various reports and distributing, as assigned
o Prepare Fed-Ex/UPS/USPS packages for shipment
o Initiate, receive and respond to phone calls and correspondence
